How to ensure a smooth process and minimize extensions

January:

  • ERISAfire sets up project pages for returning clients, which means less work for you.

  • PRO TIP: For new projects, the ERISAfire help site article “Getting Started…” is a great resource.

February:

  • Welcome emails generated for both account teams and employer contacts—your cue to visit the project page, provide requested documents and complete the interview and Schedule A Tracker.

  • Clients without a signed authorization will have a request on the project page to sign and return at beginning of project.

  • PRO TIP: Documents are key to a smooth audit process. Please provide up front.

March:

  • Schedule A requests begin March 15 and continue in waves.

  • PRO TIP: Confirming insured coverage lines and carrier contact info by March 10 will ensure the policy is in the first wave of Schedule A requests, which will help avoid extensions.

April:

  • First follow up or project status email goes out from ERISAfire to account teams

May:

  • To Avoid Extensions: By May 1, account teams should ensure:

    1. all new clients and clients crossing the 100-participant threshold have 5500 project pages,

    2. 2023 enrollment guides are provided,

    3. Schedule A Trackers are complete and accurate, and

    4. employer contacts in the Form 5500 Interview are accurate.

  • Second follow up or project status email goes out from ERISAfire to account teams with employer-client day-to-day contact cc’d.

  • PRO TIP: Use the Schedule A Tracker to—you guessed it—track Schedule A progress!

June:

  • 5500 drafts sent to the account team for optional review. “Form 5500 Ready for Review” email also directs to the project page where there are drafting notes, clarifying questions and compliance findings.

  • To Avoid Extensions: By June 10, ERISAfire should have all Schedules A, enrollment guides, plan documents and participant counts.

  • PRO TIP: “Ready for Review” email is your opportunity to see compliance findings before the client does. “Ready for Signature” email goes to employer-client signer 14 days after the review email is sent to account team.

July:

  • Bulk of 5500s and authorizations go to clients for signatures; completed filings filed with DOL.

  • Extensions filed. Extensions subject to $50 fee.

August:

  • Final documents stage: submitted 5500, filing confirmation and summary annual report (SAR) uploaded to project page with email alert to client.
